Reservation Policies

Hotel Policies & Fees

  • Guests must have at least one adult aged 19 or older registered to each room.
  • Check-in time is anytime after 3pm. Early check-in requests cannot be guaranteed. Our Concierge Desk will be happy to store luggage until the room is ready to be occupied.
  • Check-out time is 11 am. Late check-out requests will be accommodated where possible and may be subject to additional charges.
  • The Hotel considers guests aged 15 and under to be children. Children under 16 will stay free in the same room as a paying adult when using existing bedding. Our Front Desk must be advised of the exact number of adults and children at time of booking.
  • Room Occupancy – Fire code permits a maximum of 5 guests in a room depending on room category. Some room types have a maximum occupancy of less than 5.
  • Extra Person Charge - All room rates are based on single or double occupancy. An additional charge of $10.00 per person per night plus taxes will apply for additional adult guests over 2.
  • Rollaway Beds & Playpens – Rollaways are $10.00 per night plus taxes. Playpens are FREE and available on request.
  • Microwaves – Microwaves are available on request for $5.00 per day plus taxes – we have a limited supply of Microwaves.
  • Parking – self parking is FREE on our hotel property.
  • WIFI – FREE in guest rooms and common areas.
  • Specific Room Requests – We will do our best to hold specific room numbers or room locations although we cannot guarantee as unforeseen circumstances can occur.
  • Pets are welcome at the Village Green Hotel with 8 Pet-Friendly Guest Rooms available.

  • Domestic cats or dogs (80 lbs or less)
  • Fee for 1 Pet is included in the rate. Fee for the 2nd Pet is $15.00 per day (maximum of 2 pets)
  • Pets must be kept in control at all times and must not be left unattended in guest rooms. Any restitution provided to other guests for complaints due to noise from pets will be charged to the pet owner accordingly.
  • Pets are not allowed on beds or furniture
  • Pets are not allowed in pool area or fitness room
  • Owners must pick up after their dog. There is a designated disposal site in the green space area. Disposal bags can be requested at the front Desk

  • Smoking Policy – the Village Green Hotel is proud to provide a 100% Smoke Free Environment for our Guests & Staff. An additional $200.00 cleaning fee will be levied for smoking in guest rooms, patios or balconies. There are designated Smoking Areas outside of the Hotel.
  • Damage/Theft – we reserve the right to charge guests the cost of theft of hotel property and/or rectifying damage caused by the deliberate, negligent or reckless act of the Guests to the Hotel’s property or structure. Should this theft or damage come to light after the Guest’s departure, we reserve the right to charge the Guest’s credit/debit card or send an invoice for the amount to the registered address.

Payment Policies/Deposit Information

  • A valid credit card is required at the time of booking. If a credit card is not available, your reservation will only be held for a minimal time period and will be subject to release.
  • The Village Green Hotel accepts all major credit cards including Visa, Mastercard, American Express, Discover Card and Diners Club. Cash and Interac payments are also accepted – see note below. Personal cheques will not be accepted unless prior approval is obtained from our Accounting Department.
  • Valid photo ID is required both for the check-in process as well as being a necessity to process a credit card.
  • A $100 preauthorization will be taken at time of check-in to cover any incidentals that may occur during the Guest’s stay
  • Please note, the following applies when no MAJOR credit card has been offered as a guarantee

  • Cash or Debit: We will require payment for the entire stay in addition to a $250 deposit in advance at time of check-in.
  • Pre-Paid Credit Cards: The full amount of the guest stay will be required in advance including tax with a $250 deposit. While you may reserve your hotel room online with a pre-paid credit card, you may not want us to a apply a pre-authorization on your card as is our practice with credit card sales. Banks often hold funds for an extended time period (over 30 days in some cases), making it difficult to remove the pre-authorizations from pre-paid cards. We strongly suggest that arrangements are made to pay with cash or debit instead.

Cancellation Policies

  • Guaranteed reservations at the Village Green Hotel must be cancelled by 4pm, 24 hours prior to arrival date to avoid cancellation penalties. If you wish to cancel your reservations within the 24 hour period, the first night room and taxes will be applied to your credit card.
  • Groups and Conference reservations are subject to the cancellation and deposit policies outlined in the Group Confirmation at the time of booking and may vary from standard hotel policies.

Taxes

  • Hotel stays at the Village Green Hotel are subject to applicable taxes totalling 15.1%. Taxes are comprised of 8% Provincial Sales Tax (PST), 5% Goods & Services Tax (GST) and 2% Municipal Regional Hotel Tax (M$HT). GST is charged on the 2% MRHT.

Currency Conversions

All rates are confirmed and will be charged in Canadian dollars. As currency exchange rates will fluctuate on a daily basis, the hotel cannot guarantee a specific rate of exchange. Currency exchange is available at the Front Desk.

Advance Purchase/Non-Refundable Rates

Full pre-payment is required for this reservation- your credit card will be charged immediately. These rates are not available to groups.

Extended Stay and Group Rates

Long Term Stays – Weekly/Monthly (September to April only). The Hotel provides Weekly (min of 5 nights) and monthly (min. 25 nights, max 30 nights). Rates on request from Sep to Apr only. Room and taxes must be pre-paid for entire stay – no refunds for early departures. Maid service is provided two times per week. A valid Major Credit Card imprint will be taken and kept on file for any incidentals – charged weekly.
Group Sales Department
Group Rates – please contact our Group Sales Department when booking a group of 10 rooms or more. When booking multiple rooms online, please indicate “1 of 2, 2 of 2” etc in the comments section. This will avoid rooms being cancelled in error and increase the possibility of your rooms being in the same area of the hotel.

Senior Rates

The Hotel considers anyone aged 60 and over as a Senior and offers discounted Senior Rates. Picture ID may be requested at check-in.

BCAA/CAA/AAA Member Rates

The Hotel offers discounted rates to members of various Auto Clubs. Membership card is required at check-in.
